We are looking to hire a Legal Assistant for an industrial real estate company, with their European Headquarters in Amsterdam. In this role you will provide support to the legal team of lawyers in their day-to-day work. Your job will consist of a wide range of responsibilities, ranging from general secretarial work to corporate housekeeping and being responsible for several administrative legal procedures.

Your tasks and responsibilities will be

Be responsible for the general administration of the legal department:

  • Arrange document signing
  • Manage the procedures for notarisation and apostille
  • Request and distribute Chamber of Commerce extracts
  • Check documents for completeness and accuracy
  • Arrange filing of legal documents
  • Assist with annual accounts

  • Act as the main contact point for legal documentation requests from various internal departments as well as external parties like law firms and notaries across Europe
  • Handle multiple legal related databases
  • Maintain the Pan-European entity structure chart, prepare charts for specific projects
  • Run the legal invoicing process, follow-up on payments
  • Assist in compliance matters like ‘know-your-customer’ and UBOs
  • Provide excellent secretarial support to the legal team: organise meetings, coordinate couriers, filing and copying

Functie eisen

Your qualifications and experience

  • Administrative champion with an excellent eye for detail
  • Experience as legal assistant/secretary with a law firm or legal department; preferably working in areas of corporate, finance or fund management
  • Fluent in Dutch and English (written and spoken)
  • Ethically sound individual with a great sense of professionalism and responsibility
  • Strong organisational skills
  • MS Office (Word, Excel, PowerPoint, Outlook)
